Troubleshoot Key Management administration

The Key Management Settings card is missing

Confirm the selected site has the Key Management module and that your account has Site Admin-level access to that site. The operational Key Management screen and the General Administration card use the same module assignment but have separate navigation.

A key type is not available

Key types are site-specific. Confirm the correct site, then create the type under Key Types. If it was just created in another session, close and reopen Key Management Settings to reload the selector.

Save says description or number is required

Enter at least one of those fields. For reliable physical reconciliation, use both a durable unique number and a clear description.

Two keys have the same number

The editor does not enforce number uniqueness. Compare host, description, type, notes, and transaction history to identify the records. Correct the duplicate using the site's numbering standard before staff continue recording transactions.

The host is missing from the selector

Confirm the host belongs to the selected site and is available to active-host searches. Search by the host's name; at residential sites the label can also include primary address and lot. Correct the host under Host Administration rather than creating a duplicate key association.

The saved key is not visible in the operational screen

Confirm the same site is selected, clear filters, and refresh. Search by key name or number. Also confirm the Key Management module remains enabled for the site and that your operational account can access it.

Delete fails

The administration dialog does not show dependency impact. The key or type can still be referenced by key records or transaction history. Preserve the error, stop retrying, identify and reassign dependent records, and contact support if retention rules require the historical relationship to remain intact.

A description or host changed but custody did not

That is expected. Administration changes inventory metadata; Sign In and Sign Out change custody state. Use the operational Key Management workflow for transactions and its History action for earlier movements.

Support information to collect

Include site, key ID or displayed name and number, key type, host association, current transaction state, last successful operation, exact error message, and whether the problem occurs in administration, the operational grid, or both.
