Add or edit a revenue transaction¶
Authorized users can select Add New for the selected site. To open an existing record, double-click it or choose Edit from its row menu. View-only users can inspect the dialog but cannot save.
Complete the transaction information¶
Enter the required:
- Description - a clear business purpose for the charge or revenue;
- Amount - a numeric value;
- Revenue Type - one of the types configured for the selected site;
- Transaction Date - the site's local transaction date and time.
Choose Cash or Credit to record the method. New records default to Credit. The transaction date defaults to the current time for a new entry and is stored consistently after conversion from the selected site's local time.
The Recipient Pay controls appear only when Payment Processing is enabled for the site. If Recipient Pay is selected, Recipient Email is required. See Payments and invoices for how this choice changes the payment flow.
Add or remove images¶
Open the Images tab to attach supporting image files such as a photographed receipt or other approved evidence. You can select or drag images, with up to 10 files in an upload selection.
Choose View Images to inspect the current and newly selected images. Mark an image for removal when appropriate. Uploads and removals are applied only when you save the revenue record.
Do not attach full card numbers, security codes, bank credentials, or unrelated personal information.
Protect processed payments¶
When an existing transaction has an external payment-processor transaction ID, the form locks:
- amount;
- revenue type;
- Recipient Pay;
- recipient email.
This prevents ordinary editing from changing the financial basis of a processed payment. Description, transaction date, method, and approved supporting images may still be maintained according to your permissions.
Save the record¶
Select Save after verifying all fields and images. The system records creation or update audit information. Depending on the revenue type and site configuration, saving can also open a card-payment dialog or send a recipient invoice.
Revenue Management does not provide a delete action from this page. Use the approved correction or refund process instead of repurposing an existing transaction.
Warning
Do not change a transaction's date or description to conceal a correction. Preserve accurate context and use the organization's audit, adjustment, or refund procedure.
