Payments and invoices

When Payment Processing is enabled, saving an unpaid revenue transaction can open an immediate card-payment window or send an invoice link to the recipient. The route depends on the selected revenue type and Recipient Pay setting.

Make a card payment

The Payment dialog shows the amount due, a secure card-information area, an optional receipt-email address, and the final Pay amount Now button.

Before submitting:

  1. Confirm the amount due and the underlying transaction.
  2. Enter the card information in the payment-processor field.
  3. Verify the receipt email when a receipt should be sent.
  4. Select the Pay button once and wait for the success or error result.

The Pay button is disabled while a submission is pending to reduce accidental duplicate submissions. A successful payment stores the external transaction ID, marks the revenue transaction paid, and updates related records when applicable.

Some administrator-initiated payment flows can expose an amount override. An override requires a valid amount and notes and should be used only under the organization's approved pricing authority.

Warning

Never enter card data in the description, notes, receipt-email, or image fields. Card information belongs only in the secure card-information control.

Send a recipient-pay invoice

Select Recipient Pay on the revenue record when the recipient should receive a link and pay remotely. Enter the recipient's email address and save.

For configured revenue types, TEKControl saves the transaction and sends an invoice using the site's invoice-email template. If the address or template subject/body is missing, the transaction can be saved but the invoice cannot be sent successfully; correct the configuration or recipient address before relying on delivery.

Pay a recipient invoice

The invoice page shows the invoice type when related to a citation, the host or visitor when available, amount, description, and site-local transaction date. Select Make Payment to open the card-payment dialog.

An invoice link is rejected when it is invalid, already paid, not configured for Recipient Pay, has no positive balance, or the site no longer has Payment Processing enabled. After a successful payment, the invoice displays confirmation and any linked citation is marked paid.

Treat invoice links as sensitive. Forward them only to the intended payer and confirm suspicious or unexpected invoices with the issuing site before paying.

Resolve a payment error

Do not repeatedly submit after an uncertain result. Check the Revenue grid and payment-processor records for an external transaction before retrying. Escalate processor errors according to your payment-support procedure and preserve the exact message and transaction context without recording card details.
