Dispatch notes and history¶
Dispatch provides two related records: notes for operational context and history for tracked workflow actions.
Add or review notes¶
Open the dispatch item's three-dot menu and select Notes. Previous notes show their text, date and time in the site's time zone, and author.
To append a note:
- Enter the new note above the previous-note list.
- Select Save.
Notes cannot be blank. Saving appends a new note and records the action in dispatch history; it does not replace earlier notes. New notes cannot be added to a closed dispatch item.
Include the action taken, outcome, current condition, next step, and any related incident or work identifier. Do not repeat sensitive information unnecessarily.
Dispatch history¶
Open the three-dot menu and select Record History. The read-only grid shows newest activity first:
- Action — the tracked workflow event;
- Action Date — when it occurred in the site's time zone;
- Action By — the responsible user.
History can include creation, field updates, reassignment, assignment confirmation, notes added, and closure.
Note
Notes explain operational context; history records that workflow actions occurred. Review both when reconstructing the sequence of a dispatch.
