Revenue refunds¶
The Refund row action appears only when all of the following are true:
- the site's Payment Processing module is enabled;
- you have the Payment Processing Administrator role;
- the transaction has a positive remaining amount;
- the transaction has an external payment-processor transaction ID.
Refund a card payment¶
Open Refund, enter the amount to return, and select Refund. The amount must be greater than zero and cannot exceed the transaction's current amount. The field initially contains the full current amount, so replace it when processing a partial refund.
After a successful processor response, TEKControl:
- reduces the revenue transaction amount by the refunded amount;
- records the modifier and modification time;
- writes an audit entry with the refund amount;
- refreshes the Revenue grid.
A partial refund leaves the remaining amount on the transaction and may permit another refund. A full refund reduces the amount to zero, so the Refund action no longer appears.
Verify before submitting¶
Confirm:
- the correct site and transaction;
- the payer and external payment reference using approved tools;
- whether the refund is full or partial;
- the exact amount and currency;
- the approval required by your organization.
The refund operation is sent to the external payment processor when you select the button. The dialog does not provide a second confirmation step.
Handle an error or disputed result¶
If processing fails, preserve the displayed error and check the payment processor before trying again. A processor may have accepted an operation even if the browser did not receive the expected response. Escalate mismatches between the processor and TEKControl ledger through the approved financial-support process.
Danger
Refunds move funds externally. Never retry an uncertain refund solely because the dialog closed, timed out, or showed a generic error; verify the processor result first.
