Virtual Agent visitor approval

When a visitor uses the TEKControl Virtual Agent at an entrance, the agent may send the selected host a time-sensitive visitor approval request by text message or email. The public approval page lets the host approve or deny that one live request without signing in to the portal.

Review the message first

The approval message can include:

  • visitor name;
  • requested destination;
  • reason for the visit;
  • approval request ID;
  • six-digit approval code;
  • expiration time;
  • secure response link.

Verify that you recognize the visitor and are authorized to make the decision for the stated destination. If the request is unexpected, incomplete, or suspicious, deny it or contact the guard team. Do not approve solely because the visitor knows your name or address.

Open the approval page

Open the complete link from the latest approval message. The page identifies the request and normally fills the Approval code from the link. If it is blank, enter the six-digit code shown in the same message.

The link and code are both sensitive. Do not forward them, post a screenshot, or send them back to the visitor. Anyone with the active request details may be able to submit a response before it expires.

Approve or deny

Optionally enter a note of up to 500 characters for the guard team. Use it for concise operational context, such as who should be contacted or why the request was denied. Do not include unrelated personal, medical, financial, or credential information.

Then select one response:

  • Approve records permission for the Virtual Agent request;
  • Deny records that permission was not given.

The buttons are disabled while the response is being submitted. Wait for Request approved or Request denied before closing the page. Selecting Done returns to the portal entry page.

Each request accepts only one final response. After it has been approved, denied, or expired, the same link cannot change that outcome.

Understand what approval does

Approval notifies the Virtual Agent that the host approved the request. The actual physical-access action is separate and remains subject to the site's active Virtual Agent policy, the configured access point, call state, and safety controls.

An approval therefore does not guarantee that a gate or door opens immediately. If access does not proceed after a confirmed approval, the visitor should follow the on-site guard or intercom instructions rather than asking the host to submit repeatedly.

Protect the decision record

TEKControl records the response time, source, decision, and optional note. Invalid-code attempts and rejected responses are also recorded for operational review.

Danger

Never approve an unfamiliar or coerced request. Deny it and contact site security through a known phone number—not contact information supplied by the visitor.
