Configure keys¶
Select Key Management Settings on the Key Management Settings card. Use the Keys selector to search for an existing record, or leave it unselected to create a new key.
At residential sites, selector results include the key name, assigned host, primary address, and lot when available. At other sites, results use the key name. The selector loads records as you search, so enter part of the expected name when a long inventory does not appear immediately.
Key fields¶

The portal validates that Description or Number contains a value; it does not require both and does not check that the number is unique. Establish a site naming and numbering standard to prevent staff from transacting against the wrong row.
Add a key¶
- Confirm the correct site in General Administration.
- Open Key Management Settings without selecting an existing key.
- Enter the description, number, or both.
- Select a required Type.
- Optionally select a Host and enter Notes.
- Select Save.
- Search for the saved key in the operational Key Management screen.
New records store the creating user and UTC creation time. Saving also stores the latest modifying user and time.
Edit a key¶
Select the key from the searchable Keys field. The form loads its current values and displays Delete. Make the change and select Save. The selector resets after saving, so search again to verify the stored values.
Changing the Host association changes how the key is labeled and found in residential searches. It does not change the host record itself or create a custody transaction.
Delete a key¶
Delete uses a generic confirmation and does not display transaction-history or relationship impact. Before confirming:
- Verify the physical key and selected inventory row match.
- Confirm the key is not currently signed out.
- Review or export its transaction history according to retention policy.
- Confirm staff no longer need the record for reconciliation.
The dialog provides no restore action. If deletion fails, do not repeatedly confirm; check whether transaction or database relationships still depend on the key.
